Privacy Policy and Data Protection

Qatar Dissertation Advisory is an academic consultancy operating from Doha in the State of Qatar. We provide research advisory, manuscript preparation and academic editing support to Master's candidates, doctoral researchers and medical professionals.

This policy explains what personal information we collect when you contact us or engage our services, why we collect it, how we protect it, how long we keep it, and what rights you hold over it. It applies to every channel through which you reach us, including the enquiry form on this website, email, WhatsApp, telephone and video consultation.

We have written this policy in plain language rather than legal shorthand, because the people who read it are usually about to hand us unpublished research they have spent years producing. You are entitled to understand exactly what happens to that material.

We collect only what we need in order to quote for work, carry out that work, and communicate with you about it. In practice this falls into four categories.

Information you give us directly

• Your name and email address, submitted through the enquiry form or sent to us by email
• Your academic level, field of study, institution where you choose to disclose it, and your submission deadline
• A description of the service you are seeking and any context you volunteer about your circumstances
• Your telephone number, if you contact us by WhatsApp or ask us to call you

Research material you submit

• Draft chapters, complete manuscripts, research proposals and literature reviews
• Datasets, survey exports, interview transcripts, audio recordings and statistical output files
• Supervisor feedback, marking rubrics, programme handbooks and institutional formatting templates
• Originality reports and any similarity documentation you share with us

Correspondence

• Messages exchanged with your consultant during an engagement, retained so that instructions and agreed scope remain verifiable by both parties
• Quotations, scope documents and delivery confirmations

Technical information

• Standard server logs generated when your browser requests a page, including internet protocol address, browser type and timestamp, retained by our hosting provider for security and diagnostic purposes

We do not collect payment card numbers on this website. No card details are entered into or stored by this site. Where an engagement proceeds to payment, that transaction is handled separately through a regulated payment provider or direct bank transfer, and the card or account details never pass through our systems.

Your information is used for the following purposes and no others.

• To prepare a quotation. Assessing your draft, dataset or requirements in order to scope the work and quote a fixed price
• To match you with a consultant. Identifying which specialist on our panel holds the subject expertise your project requires
• To carry out the agreed work. Editing, analysing, formatting or advising on the material you have supplied
• To communicate with you. Answering questions, confirming milestones, delivering completed work and handling revisions within the agreed scope
• To keep a record of what was agreed. Retaining scope documents and correspondence so that both parties can verify what was commissioned

We do not use your information for automated decision making. We do not build behavioural profiles. We do not sell, rent, trade or otherwise make your information available to any third party for marketing purposes, and we never will. We do not add you to a marketing mailing list on the basis of a service enquiry.

Your research material is never used as a sample, a portfolio piece, a training example or a template for another candidate. It is never resold and never recycled. This restriction survives the end of your engagement permanently.

A binding Non Disclosure Agreement is executed before you transmit any research material to us. This is not optional and it is not something you have to request. It happens as the first step of every engagement, including engagements that never progress past the quotation stage.

Under that agreement, the following are treated as strictly confidential without time limit.

• Your identity, and the fact that you approached us at all
• Your institution, your faculty, your programme and the identity of your supervisor
• Your research topic, research questions, hypotheses and theoretical framing
• Your data in every form, including raw responses, transcripts, recordings and analysis output
• Every draft, revision and final deliverable produced during the engagement

Every consultant, editor, statistician and reviewer on our panel is bound by an individual confidentiality undertaking before being granted access to any client material. Access is granted on a need to know basis: a consultant sees only the projects assigned to them, and never the wider client list.

We will not confirm to any external party that you are or have been a client. If a third party contacts us asking whether a named individual has used our services, we decline to answer. That response is identical whether or not the person named is in fact a client, so that the answer itself reveals nothing.

Research material represents years of work that frequently cannot be reconstructed. We treat it accordingly.

Encryption in transit

This website is served exclusively over HTTPS using a valid TLS certificate, so that information submitted through the enquiry form is encrypted between your browser and our server. Any page that collects information will show a secure connection indicator in your browser. If you ever reach a page on this domain that does not, do not submit anything and please tell us.

Encryption at rest

Client files are stored on encrypted storage with access restricted to the consultant assigned to your project and the reviewer performing quality control. Storage is protected by multifactor authentication.

Operational controls

• Access is granted per project rather than per person, and is revoked automatically when an engagement closes
• Consultants are prohibited from storing client material on personal devices, personal cloud accounts or unencrypted removable media
• Large files are exchanged through secure transfer links rather than as unprotected email attachments, and those links expire
• Working copies held during an engagement are deleted from consultant workspaces at the point of final delivery

No system connected to the internet can be described as absolutely secure, and we will not make that claim. What we can say is that we apply the controls above consistently, and that we will tell you promptly and honestly if anything goes wrong.

The enquiry form on this website

When you complete the enquiry form, the information you enter is transmitted over an encrypted connection and delivered to our consultancy inbox. The form includes a hidden field designed to catch automated spam submissions. That field is never shown to you and collects nothing about you.

Submitting the form creates no account and sets no tracking identifier. You are contacted only in response to the enquiry you made.

Email

Email sent to our published address is received into a mailbox protected by multifactor authentication and restricted to authorised personnel. Please be aware that standard email is not fully secure in transit between your provider and ours. For sensitive material such as complete datasets or unpublished manuscripts, ask us for a secure transfer link rather than attaching the file to an email.

WhatsApp

WhatsApp conversations are encrypted between your device and ours by WhatsApp itself, and we cannot alter or weaken that. Please understand the following before using this channel.

• Messages you send are delivered to a business device controlled by our consultancy and protected by a device passcode and screen lock
• WhatsApp is operated by a third party under its own privacy terms, over which we have no control, and metadata such as your telephone number and message timestamps is visible to that provider
• We use WhatsApp for scheduling, quick questions and status updates, not for the transfer of complete datasets or full manuscripts
• Where a WhatsApp exchange contains information relevant to an agreed scope, we transfer that content into the project record and delete the conversation thread at the close of the engagement
• Your telephone number is used solely to reply to you, and is never added to a broadcast list or marketing group

If you would prefer not to use WhatsApp at all, every stage of an engagement can be conducted entirely by email and secure file transfer. Simply tell us and we will not contact you on that channel.

We keep information for the shortest period consistent with delivering the service and meeting our record keeping obligations. These are our standard periods.

• Enquiries that do not proceed: contact details and any sample material are deleted within ninety days of the last contact
• Research material during an engagement: retained only while the work is active
• Research material after final delivery: retained for sixty days so that revisions within scope can be completed and so you can recover a file if you lose it, then permanently deleted
• Scope documents, quotations and delivery confirmations: retained for the period required to meet tax and commercial record keeping obligations under Qatari law, currently ten years, and containing no research content
• WhatsApp threads: deleted at the close of the engagement
• Server logs: retained by our hosting provider on its standard cycle, typically not more than twelve months

You may request deletion of your research material at any time, including before the sixty day period has elapsed. Write to us and we will delete it and confirm in writing once it is done, normally within five working days. Deletion is permanent and cannot be reversed, so please retain your own copy before requesting it.

The only records we retain after such a request are the commercial documents we are legally required to keep. Those contain your name and the transaction, never your research.

Your information is shared only in the following limited circumstances.

• The consultant assigned to your project, who is bound by an individual confidentiality undertaking
• The reviewer performing quality control, who sees your material solely in order to verify the work before delivery
• Our infrastructure providers, being the hosting, encrypted storage and email providers that operate the systems on which the service runs

Infrastructure providers process data strictly on our instructions under contractual confidentiality terms. They are not permitted to access, use or disclose your content for their own purposes. Some of these providers operate servers outside the State of Qatar. Where that is the case, we select providers offering appropriate contractual and technical safeguards for information transferred across borders.

We disclose information to no one else. We would disclose it only if compelled by a valid order of a competent Qatari court or by a binding legal obligation under Qatari law, and in that event we would notify you unless prohibited from doing so.

We do not share information with your university, your faculty or your supervisor under any circumstances.

You hold the following rights in relation to personal information we hold about you.

• The right to be told what information we hold, why we hold it and who it has been shared with
• The right of access, to receive a copy of the personal information we hold about you
• The right of correction, to have inaccurate or incomplete information corrected
• The right of erasure, to have your information deleted where we have no continuing legal obligation to retain it
• The right to withdraw consent to processing at any time, without affecting the lawfulness of processing already carried out
• The right to object to a particular use of your information and to ask us to restrict it
• The right to complain to the competent supervisory authority in the State of Qatar if you believe your information has been mishandled

To exercise any of these rights, write to our published email address. We respond within thirty days and usually much sooner. We may ask you to confirm your identity before releasing information, which protects you against someone else obtaining your data by impersonating you. There is no charge for exercising these rights.

We operate from the State of Qatar and handle personal information in accordance with Qatari law governing personal data privacy protection, together with the guidance issued by the competent national authority.

In practical terms, this means we commit to the following principles.

• Personal information is processed fairly, lawfully and transparently, and we tell you what we are doing with it
• Information is collected for specified and legitimate purposes and is not used for anything incompatible with those purposes
• We collect the minimum necessary, and we decline information we do not need
• Information is kept accurate and, where you tell us it is wrong, corrected without delay
• Information is retained no longer than is necessary for the purpose for which it was collected
• Appropriate technical and organisational measures protect information against loss, unauthorised access, alteration and disclosure
• Information relating to children or to sensitive categories receives additional protection and is only handled where strictly necessary

Where you are located outside Qatar, or where your institution is based elsewhere, we apply these same standards to your information regardless of where you are.

This policy describes our operational commitments and is provided for information. It is not legal advice, and it does not replace your own reading of the applicable regulations.

This website is deliberately built to function without setting tracking cookies. No advertising cookie, remarketing pixel or cross site tracking identifier is placed by this site.

Fonts are requested from an external font provider in order to render the typography of the site. That request necessarily reveals your internet protocol address to the font provider, which is a consequence of how web fonts are delivered rather than a choice to track you.

Should we introduce analytics at a later date in order to understand which pages are useful, we will update this policy before doing so, we will configure the tool to anonymise addresses, and we will present a consent notice that allows you to decline without losing access to any part of the site.

You can block or delete cookies through your browser settings at any time. Doing so will not prevent this website from working.

If a security incident occurs that affects your personal information or your research material, we will act on the following basis.

• We will notify affected clients directly and without undue delay once we have established what has happened
• We will notify the competent supervisory authority where the law requires it
• Our notification will describe what occurred, what information was involved, what we have done in response and what you should do
• We will not delay notification in order to complete an internal investigation first, and we will provide updates as facts become clear

We would rather tell you early with partial information than tell you late with a complete account.

This policy may be updated to reflect changes in how we operate, in the systems we use, or in the law. The date at the top of this page always records the most recent revision.

Where a change materially affects how your information is handled, and where you are an active client or have an open enquiry, we will notify you directly by email rather than relying on you to notice the change here. Continued use of the service following a material change constitutes acceptance of the revised policy, but you always retain the right to request deletion of your information instead.

If you are not satisfied with how we have handled a privacy concern, you are entitled to raise the matter with the competent data protection supervisory authority in the State of Qatar. We would ask you to raise it with us first so that we have the opportunity to put it right, but that is a request and not a condition.
